Evolution Powersports is a powersports dealer running NetSuite as their core ERP platform. Their business operates at significant volume, with a collections process that demands tight financial operations and clean accounts receivable. The Challenge

Evolution Powersports was already using NetSuite, but their payment setup had not kept pace with the rest of their operations. Invoices were going out with a clunky payment experience for customers to pay directly.

Partial payments also created a separate problem. When a customer put a deposit down on a purchase, say on an ATV, that deposit and the remaining balance lived on two separate invoices. Reconciling those back together was manual work, and manual work at volume adds up quickly.

The result was an accounts receivable process that worked against the team rather than for it. Days sales outstanding (DSO) was climbing, and the administrative burden of tracking split invoices and chasing payments was pulling time away from higher-value work.

On top of that, Evolution Powersports had been experiencing payment declines they could not consistently explain. Their system was unreliable, and the gaps in processing were creating a secondary problem that needed to be addressed alongside the integration work.

What We Provided

Evolve Payment integrated directly into Evolution Powersports’ existing NetSuite environment. No additional coding. No process overhaul. No new platforms to learn. The integration lives natively within NetSuite, and from the team’s perspective, the change amounted to a new button.

That button does a lot. Invoices now go out with a pay link attached, routing customers to a hosted payment page where they can submit payment online. Partial payments, like a deposit followed by a balance, now live on a single invoice with automated reminders built in. When payments come in, reconciliation happens automatically within the ERP.

To address the decline issues, Evolve Payment implemented 3D Secure through our gateway. 3D Secure adds an authentication layer to card transactions, reducing unauthorized declines and securing payments without slowing the transaction down for the customer.

The Impact: Fewer Steps, Faster Payment

Invoices with a direct pay link get paid faster. For mid-market businesses where DSO can stretch 90 to 120 days under a manual setup, that shift has a real effect on liquidity. The move to a single invoice per transaction, with automated reminders and automatic reconciliation inside NetSuite, also eliminated a significant chunk of manual work from the accounting team’s day-to-day.

The integration resolved the payment decline issues Evolution Powersports had been experiencing as well. The technical processing problems that had been creating gaps in their ability to collect are no longer a factor.
